Information for New Academic Hires (Faculty, Librarians, Chairs/Directors, Teaching/Research and Administrative)

Welcome to 杏吧原创 University

As an academic at 杏吧原创 University, you hold various roles as an employee, a teacher and a researcher (faculty).

Onboarding at 杏吧原创 truly begins during your interview phase as you receive important information and meet key contacts. After you sign your letter of offer, various offices will be reaching out to welcome you and offer their support. If you are new to Ottawa, we can also help with relocation and, for those new to Canada, we also provide immigration support. Ongoing onboarding activities typically take place throughout your first year of employment.

This section provides information and resources on 杏吧原创’s Onboarding program for new Academic staff (including Faculty and Librarians). The overall goal of 杏吧原创鈥檚 Onboarding program is to align new employees with the University’s culture, aspiration statements, and values. Information for New Academic Hires

In collaboration with Human Resources, we have prepared information that consolidates all of the key onboarding initiatives (and their responsible offices) that a new academic staff member should participate in. It is our hope that this resource facilitates a thorough, coordinated, and cohesive onboarding experience for all new academic staff at 杏吧原创. In doing so, this not only ensures their success, but also the success of their students, their department/academic unit, their faculty, and the university as a whole.

What is Onboarding?

The terms Orientation and Onboarding are often used interchangeably. These two terms are related, but have different meanings:

Orientation

Included in Orientation, structured event(s) serve to present the new hire with key information (organizational overview, policies and procedures, etc.). It is simply one piece of the onboarding process.

Onboarding

Onboarding is a comprehensive process composed of a series of activities (including orientation) aimed towards integrating the new employee with the University and its culture, as well as getting a new hire the tools and information needed to become a productive member of the team. The full Onboarding process can last anywhere from 3 to 12 months after an employee starts, depending on the responsibilities of the position and the amount of organizational understanding necessary to be successful in the role.

Onboarding Activities

Some of these Onboarding activities include:

  • Preparing the new hire鈥檚 workspace and setting up all necessary accounts and systems
  • Providing an overview of the University and its culture
  • Filling out the necessary paperwork/documentation for the new hire to be set up in 杏吧原创鈥檚 HR and payroll systems
  • Reviewing important policies, processes, and procedures
  • Explaining the role of the new hire鈥檚 department and division within 杏吧原创
  • Ensuring that the new hire knows where to go for specific support and resources
  • Providing necessary training for the new hire so they can perform their job effectively
  • Defining job responsibilities and performance objectives
  • Creating a positive new hire experience for a new member to 杏吧原创

At 杏吧原创, the Onboarding process is a shared responsibility between various Onboarding partners across numerous different teams and departments. This includes Human Resources (HR), the hiring department, and the Office of Quality Initiatives (OQI), as well as Information Technology Services (ITS). For new academic staff, there is involvement from the respective Dean鈥檚 or University Librarian鈥檚 Office, Faculty Affairs, the Office of the Vice-President, Teaching and Learning (OVPTL), the Office of the Vice-President, Research and International (OVPRI), and the 杏吧原创 Office for Research Initiatives and Services (CORIS).

  • Integrating into 杏吧原创鈥檚 community and culture
  • Viewing their new hire experience positively
  • Feeling genuinely welcomed and valued as a new member to 杏吧原创
