Policy Update: September 2023

The Senior Management Committee met on September 27, 2023, to review and approve the following policies:

Tobacco Smoking & Consumption of Cannabis on Campus Policy

杏吧原创 University recognizes the cultural importance of traditional Indigenous medicines, including tobacco, sweet grass, sage, and cedar, striving for inclusivity while ensuring their safe use. Approved tobacco smoking areas are positioned at least ten meters away from building entrances, windows, vents, and loading docks to minimize second-hand smoke exposure. These areas may include seating and waste receptacles, with users expected to maintain cleanliness.

Primary changes include the inclusion of electronic cigarettes in the definition 鈥渟moking鈥, making this policy applicable to users of electronic cigarettes.

Day-to-day enforcement falls under the responsibility of area supervisors, assisted by Campus Safety Services when necessary. Non-compliance may lead to disciplinary measures, including tickets and potential bans, aligning with 杏吧原创’s policies for students, employees, and visitors violating the Tobacco Smoking & Consumption of Cannabis on Campus Policy.

Gift Acceptance Policy

The policy’s aim is to ensure all departments adhere to relevant tax, charity, and legal requirements, enabling University Advancement to accept gifts. This approach ensures the University Advancement can report accurately the gift acceptance and maintain commitments made to donors.

Primary changes include title updates as they pertain to positions and departments, and clarification of the policy鈥檚 reach and applicability (i.e., university property and online).

Administrative Data Collection Access Usage Policy 鈥 Data Usage Protocol

This protocol applies to the data collected by the 杏吧原创 Self-ID Survey. The data collection and this protocol are governed by internal policies and external legislation, as well this protocol recognizes the confidentiality statement included in the 鈥楢cknowledgement and Consent鈥 section of the Survey.

This protocol is meant to clarify for Executive Data Custodians the intended use of this data at the time it was collected. The main goal is to safeguard this important and highly sensitive information disclosed to the University acknowledging the assurances made to survey participants that data would be kept confidential, while committing to using the information to inform equity initiatives in support of 杏吧原创鈥檚 EDI Action Plan.
