Applications Open for 2025 Student EDI Research Awards

Applications are now open for the Student EDI Research Awards. Funded by the Office of the Provost and Vice-President (Academic) and administered by Equity and Inclusive Communities, the award provides funding for students to engage in faculty-supervised research projects that use EDI-informed considerations and reflect upon diversity and identities.

Students from all Faculties are invited to submit a proposal for an EDI-related research project that they will pursue from May 1 to August 30, 2025 in collaboration with a faculty member. A letter of support from the supervising faculty member is required as part of the application process.

Two student awards are available, one undergraduate and one graduate, each valued at $10,000. Award amounts include 4% vacation pay and research costs.

The application deadline is March 21, 2025. Additional details, including project eligibility and application instructions, are available on the Provost鈥檚 website. We look forward to highlighting the research outcomes from this important initiative in the Fall term.

The development of this survey is a response to the Equity, Diversity and Inclusion (EDI) Action Plan, which outlines the need to collect and rely on the most accurate and updated data regarding the experiences of all members of the 杏吧原创 community through the lens of equity, inclusion and Indigenous ways of knowing and learning.

We encourage you to complete the survey, which can be accessed through . The information provided through this survey is kept strictly confidential and you can revisit the survey at any time to update your information.

The data gathered from this survey will help the university to understand more fully the diversity of the 杏吧原创 community, dismantle systemic barriers faced by equity-deserving groups, and foster an environment where everyone can experience a sense of belonging.

Call for Nominations: Provost Scholar Awards

The Office of the Provost and Vice-President (Academic), through Teaching and Learning Services, invites faculty and instructors to submit nominations for the annual Provost Scholar Award. This award (up to two $1,000 awards per Faculty) is given to outstanding undergraduate students who exemplify student engagement by excelling in at least two of the following four areas:

  • Community engagement
  • International learning experience
  • Immersive learning
  • Undergraduate research

Please visit Teaching and Learning Services for full nomination details. Nominations are due Friday, February 17, 2023. We encourage nominations for students who identify as 2SLGBTQ+, Racialized, Indigenous and students with disabilities.

The Provost will also select one award winner to receive the Peter J. Ricketts聽Outstanding Provost Scholar Award, valued at $1,700. This award may also be divided between two recipients.

Award recipients will be invited, along with their family members and nominators, to attend an award presentation event in the spring. Thank you for your continued support of this initiative to recognize our students鈥 accomplishments.

September 30 is Orange Shirt Day

Kwey Kwey, She:kon, Taanshi, Ullaquut and Hello,

September 30 is Orange Shirt Day, Canada鈥檚 National Day for .

It is an annual day of remembrance to mark the history and intergenerational impacts of residential and day schools and to honour their survivors, including , whose story sparked a national movement. 

The legacy of Canada鈥檚 residential school system lies not in our distant past. It is recent enough that some current 杏吧原创 students are survivors. Intergenerational trauma is felt by many First Nations, Inuit and Metis people. 

杏吧原创 will fly an Every Child Matters flag and community members are encouraged to wear orange Every Child Matters shirts to commemorate the day, and to take time to meaningfully reflect on the responsibilities we all have in conciliation in Canada 鈥 on Sept. 30 and beyond.

杏吧原创 is committed to conciliation, as outlined in , a revitalized long-term Indigenous strategy with 41 calls to action to make our university a more welcoming space for current and future Indigenous students and faculty members. All 杏吧原创 students, staff and faculty are encouraged to stay informed and engaged and to read the recently released .

This year, for Orange Shirt Day, we have created a  with background information as well as links to articles and events, including a  with Elder Albert Dumont on Sept. 28 and an  for The Journey of the Baby Vamp: Honouring the Lives of the Missing Children From Residential Schools on Sept. 30.

Ongoing learning and allyship by non-Indigenous people are critical to conciliation.

To support this journey, 颁补谤濒别迟辞苍鈥檚 Centre for Indigenous Support and Community Engagement is continuing its  program this fall and winter. Participants in these workshops discuss anti-Indigenous racism in Canada, institutional anti-Indigenous racism and education, and Indigenous student experiences, among other subjects.

For Indigenous members of the 杏吧原创 community who are struggling on this day, there are resources available from the . Indigenous counselors are available to help. Or please call the Residential School Survivor Support Line at 1-866-925-4419, which is available 24-hours a day, seven days a week.  

To all members of the 杏吧原创 community, please take time on Orange Shirt Day 鈥 and every day 鈥 to meaningfully reflect, learn and take action towards conciliation in Canada.

杏吧原创 and PSAC 77000 Ratify New Collective Agreement

To all members of the 杏吧原创 community,

We are pleased to announce that 杏吧原创 University and PSAC 77000 have ratified a new collective agreement. PSAC 77000 represents more than 100 postdoctoral fellows who are actively engaged in research activities in a range of disciplines across campus. The new collective agreement is retroactive to May 1, 2022 and will be in place until April 30, 2025.

The agreement provides one percent per annum across-the-board salary increases in line with Bill 124. Some additional highlights of the agreement include:

  • Expanded Professional Development Fund
  • Provision for religious observance leave
  • Creation of a postdoctoral fellow award
  • Expanded criteria for psychological therapy services

We would like to thank all members of the bargaining teams for their hard work and leadership during the bargaining process.

We are very pleased to announce that two outstanding members of our community have accepted important leadership roles at 杏吧原创:

Maria DeRosa Appointed as Dean of Science

Maria DeRosa
Maria DeRosa

Dr. Maria DeRosa has been appointed as the Dean of the Faculty of Science, for a term ending June 30, 2027. Since August 2021, Maria has served as Interim Dean in the Faculty of Science where she has already demonstrated remarkable strategic leadership.

Maria is a professor in the Department of Chemistry and the Institute of Biochemistry, and the principal investigator of the Laboratory for Aptamer Discovery and Development of Emerging Research (LADDER), a research facility funded by the Canada Foundation for Innovation Leaders Opportunity Fund and the Ontario Research Fund. She previously served as Associate Dean (Recruitment and Retention) in the Faculty of Science from 2018 to 2020, and as Chair of the Department of Chemistry from 2020 to 2021. She has received several awards for her outstanding teaching and research contributions, including the John Charles Polanyi Research Award, an Ontario Early Researcher Award and a Capital Educators鈥 Award.

Dr. Betina Appel Kuzmarov has been appointed as Associate Vice-President (International) for a five-year term effective July 1, 2022. Betina currently serves as the chair of 颁补谤濒别迟辞苍鈥檚 Department of Law and Legal Studies, where she has been a faculty member since 2006. She previously served as Clerk of 颁补谤濒别迟辞苍鈥檚 Senate, and Associate Dean (Students and Enrolment) in the Faculty of Public Affairs. She also served as one of four co-chairs for the university鈥檚 current Strategic Integrated Plan. A trained lawyer, her research interests lie in the area of international law, as well as law and religion. Her research and training all focus on aspects of international law or transnational legal issues. In addition to her legal background, she brings practical understanding of the value of international mobility, having been both an international student and an international visiting scholar.

Betina will succeed Dr. Karen Schwartz, who has successfully completed four years in this position. Along with the Advisory Committee on Internationalization, Karen developed an to map a course to our further enhanced global ambitions. She currently co-chairs the Centre for Community Engagement鈥檚 Strategic Planning Task Force and the 杏吧原创 committee overseeing the Carnegie Classification for Community Engagement application, and has previously served on the task force guiding the university鈥檚 Strategic Integrated Plan. We would like to take this opportunity to express our gratitude to Karen for the outstanding contributions that she has made to 杏吧原创 throughout her career.

We would like to extend our sincere thanks to everyone who assisted and provided advice during the selection processes for both of these important appointments. Please join us in congratulating Maria and Betina on their appointments!

Updated Process for On-Boarding TAs, CIs and RAs聽

The message below was distributed to all Chairs, Directors and Departmental Administrators. 

杏吧原创 University introduced the University鈥檚 Mandatory COVID-19 Vaccination Policy (the 鈥淧olicy鈥). To ensure a safe and gradual return to campus while meeting operational requirements, the University has introduced a revised on-boarding process for TAs, CIs, and RAs.

Before extending an offer of employment, departments will be responsible for ensuring that prospective employees have attested and are fully vaccinated against COVID-19 or have a permitted exemption approved by the University. The process for doing so is explained toward the end of this memo.

Please adjust your hiring practices for TAs, CIs, and RAs effective immediately as the University requires all prospective employees to attest to being fully vaccinated against COVID-19 or have a permitted exemption approved by the University.

Teaching Assistants (TAs)

Priority Teaching Assistants (PTAs)

For the Winter 2022 Term for PTAs, the Office of the Deputy Provost will generate a list of TAs with assignments to determine their status under the Policy. Any PTAs who have not attested to their status will not be eligible for any TA assignments until they attest to their vaccination status via cuScreen.

Out of Priority Teaching Assistants (OPTAs)

Hiring departments cannot offer any employment to OPTAs unless they are fully vaccinated or have an exemption approved by the University. OPTAs who are not fully vaccinated or who do not have an exemption approved by the University cannot be hired and will not be added to Payroll.

Prior to extending an offer of employment to an OPTA, the hiring department will have taken the steps as outlined below ensuring that prospective OPTAs have attested and are fully vaccinated against COVID-19 or have an exemption approved by the University.

Contract Instructors (CIs)

Hiring departments cannot offer any employment to CIs unless they are fully vaccinated or have an exemption approved by the University. CIs who are not fully vaccinated or who do not have an exemption approved by the University cannot be hired and will not be added to Payroll.

Prior to extending an offer of employment, the hiring department will have taken the steps as outlined below to ensure that prospective CIs have attested and are fully vaccinated against COVID-19 or have a permitted exemption approved by the University.

Research Assistants (RAs)

Hiring departments cannot offer any employment to RAs unless are fully vaccinated or have an exemption approved by the University. RAs who are not fully vaccinated or who do not have an exemption approved by the University cannot be hired and will not be added to Payroll.

Please note that individual faculty members hiring RAs must ensure that prospective RAs are fully vaccinated or have an exemption approved by the University. Individual faculty members should consult with their departmental administrator and/or chair/director to ensure compliance when hiring RAs.

Prior to extending an offer of employment, the hiring department will have taken the steps as outlined below to ensure that prospective RAs have attested and are fully vaccinated against COVID-19 or have an exemption approved by the University.

Obtaining Vaccine or Exemption Status Information from Candidates

All candidates must attest via cuScreen that they are fully vaccinated or have an exemption approved by the University. Hiring departments must confirm that candidates are fully vaccinated or have an exemption approved by the University before extending an offer of employment.

The hiring department will ask the candidate if they have an MC1 account and if they have previously attested or obtained an exemption. Hiring departments can follow these steps to assist their inquiry:

  1. Determine if a candidate has MC1 credentials and has previously attested to being fully vaccinated or has previously obtained an exemption approved by the University.
    1. If yes, then hiring departments would confirm their vaccine or exemption status (see below)
    2. If no, then proceed to Steps 2 or 3 to ensure they attest or submit an exemption.
  2. If a candidate has MC1 credentials and has not previously attested to being fully vaccinated or has not previously obtained an exemption approved by the University, direct the candidate to attest via cuScreen with MC1 credentials or submit an exemption request under the Policy.
  3. If a candidate does not have MC1 credentials and has not previously attested to being fully vaccinated or has not obtained an exemption approved by the University, direct the candidate to attest via cuScreen as a 鈥淰isitor鈥 or submit an exemption request under the Policy. If hired, they will be required to re-attest via cuScreen once they receive their MC1 credentials.

Once the above steps are completed, candidates inform the hiring departments that they have attested to being fully vaccinated or that they have submitted an exemption request under the Policy. The hiring department will then need to confirm the candidates鈥 vaccine or exemption status with the Office of the Deputy Provost in order to proceed with the hiring process as outlined below. Please note hiring departments submit reports seeking confirmation of vaccine or exemption status to inform hiring decisions. Hiring departments do not verify vaccine or exemption status information as confirmation of vaccine and exemption status information (e.g., candidate is fully vaccinated, or candidate has an approved exemption) is done by the Office of the Deputy Provost in consultation with the COVID-19 Team.

Confirming Vaccine or Exemption Status for Candidates

Effective January 10, 2022, hiring departments will prepare on a weekly basis a report of prospective employees for whom hiring departments need to confirm their vaccine or exemption status.

Hiring departments will provide their reports to the Office of the Dean in their respective faculties:

  • Faculty of Science: Valerie Pereboom
  • Faculty of Engineering and Design: Ramune Zitikiene
  • Faculty of Public Affairs: Laurie Jaeger
  • Faculty of Arts and Social Sciences: Cheryl Murphy
  • Sprott School of Business: Deborah Casselman

Please note a template is being provided to hiring departments to be used to prepare their report.

Hiring departments are responsible for submitting a report to the Office of the Dean by 12:00 p.m. Thursday of each week. The Office of the Dean will compile a report for their respective faculty and submit it to Alyssa Laird, TA and Post-Doctoral Fellow Coordinator (email: alyssa.laird@carleton.ca) in the Office of the Deputy Provost by 5:00 p.m. Thursday. The Office of the Deputy Provost will then return the reports to the respective Offices of the Dean by 12:00 p.m. Friday confirming the vaccine and exemption status for any prospective employees identified in the reports. The Office of the Dean will be responsible for cascading that information to hiring departments to inform hiring decisions. In the event there are delays in returning vaccine or exemption status information, hiring departments will be advised accordingly.  Please note if it is determined the candidate is not fully vaccinated or if their request for an exemption under the Policy is not approved, the hiring department cannot proceed with hiring the candidate.

杏吧原创 Developing Indigenous-specific Hiring Policy

Over the last few months, we have witnessed universities across the country beginning the necessary process of developing procedures to protect Indigenous-specific positions to address false claims to Indigenous identity. 杏吧原创 University is among those institutions that are committing to collaboratively developing an Indigenous-specific hiring policy to protect positions intended to bring the richness of Indigenous lived experience and knowledge in to our classrooms.

颁补谤濒别迟辞苍鈥檚 碍颈苍脿尘脿驳补飞颈苍 (Learning Together) Indigenous strategy, released in 2020, recognizes that we will lose amazing students, staff and faculty if we cannot address this issue. Together, we must acknowledge the pain that has been caused and explore a new path forward where institutions, such as 杏吧原创, honour Indigenous self-determination and the Indigenous Peoples who work, study and teach on our campus every day. Relying on Calls to Action from the 碍颈苍脿尘脿驳补飞颈苍 report, we will reach out to stakeholders and nurture relationships to create a safe, open and engaging learning and teaching environment.

What is clear is that the process of developing such policies must be Indigenous-led and informed by Indigenous communities and legal experts. To this end, 杏吧原创 has recently engaged the expertise and guidance of respected Indigenous legal authorities Claudette Commanda, Marilyn Poitras and Elizabeth Zarpa.

Elder Claudette Commanda is Algonquin Anishinabe from Kitigan Zibi Anishinabeg First Nation and has dedicated her career to protecting First Nations rights, history and culture. Elder Commanda is a University of Ottawa alumna, having graduated from the Faculty of Arts (1993) and the Faculty of Law, Common Law Section (1997). She was inducted into the Common Law Honour Society in 2009. Elder Commanda is a respected advisor to many levels of community and national government offices.

Marilyn Poitras is a Michif consultant and advisor and was most recently Director of the Indigenous Law Centre at the University of Saskatchewan. Graduating from law at the University of Saskatchewan and with a master鈥檚 degree from Harvard Law School, she developed an expertise in constitutional law and was also a faculty member in the College of Law. Marilyn has significant experience in self-government and treaty implementation and works with Elders and Knowledge Keepers across Canada learning Indigenous legal traditions as well.

Elizabeth Zarpa is an Inuk lawyer from Nunatsiavut. Throughout her legal career, she has specialized in criminal defense with predominantly Indigenous clients from northern and rural communities. She represented Inuit at the National Inquiry into Missing and Murdered Indigenous Women and Girls and is currently researching how Inuit legal orders can inform legislation development in the institutions that govern Inuit.

In addition to their support, we will be working with our Indigenous Education Council, and our newly established Algonquin and Inuit Advisory Committees to guide the important work of hearing from Indigenous students, staff and faculty on the topic of protecting Indigenous-specific positions. With support from Indigenous leadership on campus, 杏吧原创 will implement a consultation process in January 2022. We will keep you informed as this process takes shape.

Provide Your Input in the Search for 颁补谤濒别迟辞苍鈥檚 AVP, Equity and Inclusive Communities

To All Members of the 杏吧原创 Community,

We have embarked on the process of selecting an Assistant Vice-President, Equity and Inclusive Communities. We have engaged Laverne Smith & Associates Inc. to assist us with this search and an advisory search committee has been formed.

Consultation with the campus community is an integral part of this comprehensive search. On behalf of the committee, I invite you to offer information through a by November 2, 2021. The inclusion of your name is optional, and Laverne Smith & Associates Inc. will hold all responses in strict confidence.

Undergraduate Grading Option (SAT) Extended for Fall 2021

For distribution to all Chairs, Directors, Faculty, Instructors, Librarians, Contract Instructors and Departmental Administrators.

In light of the ongoing pandemic, Senate approved the extension of the flexible and compassionate grading options for undergraduate students for the Fall 2021 term. Specifically, Senate has approved the optional conversion of one 0.5 credit grade to Satisfactory (SAT) for the Fall 2021 term. SAT/UNS grades are not used in the calculation of CGPA, which means that changes in academic performance due to the current disruption will not affect students鈥 permanent records. Extending these measures to the Winter 2022 term may be considered at a later time.

In other words, students will be able to request to designate one 0.5 credit passing grade to SAT in the Fall 2021 term. Should a student request the alternative notation of SAT, the originally recorded grade will remain available through the Registrar鈥檚 Office in the event it is needed for other purposes. Notably, if the course in question is a prerequisite for other courses, students will still be required to meet the minimum prerequisite grade, whether or not that grade has been replaced by SAT on the official transcript. The application form used to request conversion of a grade to SAT will be available at the start of the Fall 2021 examination period.

The Registrar鈥檚 Office will automatically convert F grades to UNS for undergraduate students for the Fall 2021 terms. This measure excludes failing grades that are assigned as a result of an academic integrity violation.

Undergraduate students have been notified of the alternate grading modes. More information is available on the Academic Advising Centre鈥檚 Frequently Asked Questions page.
