Before you Begin

  • Read all steps before starting.
  • Follow the steps in order.
  • Contact the Service Desk if you have accessibility issues.

Configure Microsoft Authenticator App

  1. using your My杏吧原创One account.
  2. Click Add Sign-in Method.

  1. Select Authenticator App, then click Add

  1. Click Download Now. You will be taken to a Microsoft page that directs you to the Microsoft Authenticator app within the Apple App Store or Google Play Store, depending on your device鈥檚 operating system. Download the app on your phone to proceed.

  1. Open the newly downloaded Microsoft Authenticator app on your device.
  2. Once you have opened the app, return to your browser window and click Next.

  1. You will see the screen below. Return to your mobile device.

  1. On your mobile device, If prompted, allow notifications within the Microsoft Authenticator app, then click + to add an account.

  1. Select Work or school account.

  1. Select Scan QR code, and a QR code scanner will activate on your phone.

  1. On the screen below in your browser, click Next to reveal the QR code.

  1. Scan the QR code using the Microsoft Authenticator app (not your camera app.) Once you have scanned the QR code, your Cmail account will appear in the Microsoft Authenticator app on your phone.

  1. On the page below in your browser, click Next to proceed.

  1. An authentication prompt will provide a number. Type this number into the prompt that appears in the Microsoft Authenticator app on your phone and select Yes.


  1. The prompt will be approved. Click Next.
  2. This concludes the steps to set up Microsoft Authenticator and MFA. Click Done.

There are a two major things you can do to reduce the number of Microsoft MFA authentication requests you receive.

1. Microsoft Edge Browser for the Best Experience

The Microsoft Edge browser is the university’s recommended web browser, as its integration with Microsoft MFA means you will be asked to authenticate less often when using M365 apps.

If you are a Chrome user, you might be interested to know that Edge is based on the Google’s Chromium codebase and therefore contains many of the Chrome’s features. 

2. Keep Your Browser Session Open After Authenticating

To further reduce the number of authentication requests when using Microsoft 365 web applications, such as Outlook, OneDrive, Word, Excel etc., keep your browser session open after authenticating. This will preserve your authentication for up to eight hours.

We recommend you open your email app each day instead of relying on mobile notifications, as you may stop receiving these notification after 30 days passes since your last authentication.

The requirement to authenticate every 30 days also applies to OneDrive and other applications in the Microsoft 365 suite, so be sure to log into those apps regularly if you use them.

These phone calls may arrive at inconvenient times. Those with phone calls as their default authentication method may wish to change their default authentication method to the Microsoft Authenticator app.

To do this:

  1. Login to your Microsoft profile鈥痑t using your My杏吧原创One account credentials.
  2. Click on Change鈥痑t the end of the line that starts with鈥Sign-in method when most advisable is unavailable.
  3. Select the App based authentication 鈥 notification.

To authenticate using the app when you are out of network range, do the following:

  • On the 杏吧原创 login screen, after entering your My杏吧原创One password, you will be prompted to enter the displayed number into your phone. Instead of entering the number, select 鈥淯se a different verification option鈥

  • Select 鈥淯se verification code from mobile app or hardware token鈥. You will be taken to a page to enter the code you will generate in the next steps of this tutorial.

Once Your Account Has Been Configured with Microsoft MFA:

  1. The Microsoft MFA setup process is found here.
  2. You can log into services as you normally would.
  3. Acknowledge the notification on your device by entering the on-screen number and selecting Yes to continue to log in.

How Often You Can Expect to Be Prompted

  • Microsoft MFA protected web services: each time you quit and restart your browser, or use a different browser you can expect to be prompted. Opening another web service from the same browser will not cause an authentication prompt.
  • Outlook application on your computer or phone: when you change your My杏吧原创One password.

What Should You Do if You Accidentally Enter the Wrong Number When Prompted?

  1. You will see the following message in the Microsoft Authenticator on your phone: The number you entered did not match. Select Ok.
  2. Your browser screen will display the following message: We’ve sent a notification to your mobile device but didn’t receive the expected response. Please try again. Select Use a different verification option.
  3. You will see a list of options. Select Send notification to my mobile app.
  4. Acknowledge the notification on your phone by entering the on-screen number and selecting Yes to continue to log in.
