Email Address

An email address points to a mailbox residing on an email server, where your received and sent messages are stored. Your mailbox containing your email messages is accessible via an email client program (e.g. Outlook, mail.app, Thunderbird, etc.), a smartphone or tablet, and a web-browser.

Email Alias

At Ӱԭ university, any address ending in @carleton.ca is actually an email alias.

  • An email alias has no mailbox or storage associated with it.
  • An email alias always points to another email address.
  • Whenever an Exchange mailbox is created, an email alias is also created pointing to it; however you may  to have your email alias re-pointed — for example, to a , or even to an external email address.

Shared Mailbox

Shared Mailbox is a mailbox to which multiple users have access and from which, multiple users can send/receive messages. It can serve as a common repository for a departmental email address.  It can also contain folders and sub-folders, which everyone with access to the Shared Mailbox can save to or read.

Shared Mailboxes are created on request by the . Once created, see the User Guides below to Access the Shared Mailbox from Outlook on a PC or Mac.

Note 1. All folders or sub-folders created within a Shared Mailbox share the same access permissionsas the Shared Mailbox — you cannot have different access permissions for a particular sub-folder with a Shared Mailbox.

Public Folder

Public Folder is a deprecated service that Microsoft is phasing out in favour of Shared Mailboxes.  Like Shared Mailboxes, Public Folders also allow multiple users to save to or read from a common folder in Outlook.  By default however, Public Folders have no associated email address, although one can be assigned to enable the resulting Mail-enabled Public Folder to receive email messages.

Note 2: ITS is no longer creating new Public Folders; nor mail-enabling, existing Public Folders. Instead, you may request a Shared Mailbox.

Note 3: The existing Public Folder hierarchy is visible to every mail user at Ӱԭ — not the contents of the Public Folders of course, but the names of every Public Folder. If you continue to use any Public Folders, exercise discretion in how you have named them, since that name is visible to everyone at Ӱԭ.

  • Speedstart-up of PC Outlook or openingof attachments:Disable anyOutlook Add-insyou don’t need:

Outlook> File > Options > Add-Ins > Go…
Uncheck all Add-Ins exceptMicrosoftExchange Add-In

  • Speed up filing messagesin PC Outlook byEnabling Cached Mode.

Outlook> File > Account Settings> Account Settings…> Change…
Check “Use Cached Exchange Mode”
Click “next”, then “Finish”

Note: if you later have problems, the ITS Service Desk may have you disable Cached Modeas part of the troubleshooting process.

  • Unreliable Connections to Exchange server? Try creating a new Outlook Profile:

Windows Start Menu> Control Panel > Mail > Show Profiles…> Add… > Create New Profile
Enter new profile name and click “OK”
Enter name and email address (e.g.janedoe@cunet.carleton.caNOTjane.doe@carleton.caorjane_doe@carleton.ca)

Ensure Wi-Fi is disabled on your PC,if you are using a wired Ethernet connection:

Windows Start Menu> Control Panel > Network and Sharing Centre
Turn off Wi-Fi (if enabled):Select Wi-Fi Network Properties and Disable.
