BigBlueButton Deprecation and Crosswalk to Zoom

The BigBlueButton Crosswalk document was created to aid 杏吧原创 users in transitioning to Zoom. In May 2023, BigBlueButton (BBB) reached end of life in Brightspace at 杏吧原创.For more information see the support page on BBB end of Life. Brightspace users are no longer able to create and host new BBB sessions in their course. Instructors are encouraged to transition to Zoom for their online classes and meetings.

Tips for Saving BigBlueButton Content

  • Saving the In-meeting Chat: For recorded meetings, the Public Chat appears in both the Video and Presentation versions of the BBB recording. You can highlight and copy the Public Chat window and then paste it in a word processing document.
  • Saving Shared Notes: When the Shared Notes tool is used in a recorded meeting, a Formal Notes Html link appears on the joining page alongside the link to the recordings. Clicking this opens up the Shared notes in a new tab as an html document that can be copied or downloaded.
  • Naming Recordings: BBB recordings all save with the same generic name. As such, we recommend renaming the files at the time of download with the following information:
    • Course code (e.g., PSYC3000A)
    • Date of recording (e.g., Fall 2022, or 22-09-30)
    • Topic (if known) (e.g., Lecture 1, or Week 7)
NOTE: For privacy reasons, classroom recordings that include students’ images or names should be shared only with the participants enrolled in the originating course.

Instructor can create meetings for others (TAs or students) to host by themselves.

Breakout Rooms  

Create up to 24 additional spaces in a meeting for small-group discussions/activities.

All these interaction features are available in Zoom and can be toggled by users from their icon tray. Permissions for many of these features are tiered and can be restricted by Hosts and Co-Hosts.

Sharing Content  

The Presenter can upload a document, share their screen, or share an external video.

Polling  

Presenters can create multiple choice and text box quizzes on the spot. Results can be displayed for all participants.

Hosts and Co-Hosts can create quizzes on the spot in a meeting, and can create polls in advance when scheduling a meeting. Results can be shared with participants after the poll is closed.

Zoom Equivalents in Detail

This section includes the most used BigBlueButton features, their Zoom equivalents, and an explanation of how the equivalent features function. Additional support resources for every feature are listed within each feature topic.

Scheduling meetings

In BigBlueButton, scheduling meetings works by creating meetings in the course page. Meetings have a capacity of 100 participants.

Zoom meetings work using LTI’s. Zoom LTI is accessible via Tools in the Brightspace navbar, and it can also be inserted directly into a Module. Zoom LTI in Brightspace syncs with your account in the web portal and Zoom Desktop Client. Zoom meetings have a capacity of 300 participants.

Security

In BigBlueButton, only students enrolled in the course can access the meeting. Users’ registration info is used for accurate attendance.

In Zoom, each Zoom LTI dashboard is particular to a course; it verifies that the user is enrolled in the course and signs them into their 杏吧原创 Zoom account.

Recordings

BigBlueButton meetings can be recorded. Recordings appear on the joining page for that meeting. 

Zoom cloud recordings are simultaneously sent to your Kaltura MediaSpace. From there, recordings can be embedded into any area of a course page. Zoom recordings will also appear under a different tab in the course’s Zoom LTI.

Roles

The table below outlines the roles available in BigBlueButton and the equivalent roles in Zoom. A brief overview for each role is also included to compare capabilities.

Presenters: able to initiate activities, manage meetings, and share content 

Hosts and Co-Hosts: can initiate the presentation, manage the meeting and  engagement features

Scheduling meetings for others to host

Instructors can create BigBlueButton meetings for others (TAs or students) to host by themselves. 

In Zoom, TAs and students can create their own meetings. All faculty, staff, and students with active MC1 credentials are provisioned fully licensed 杏吧原创 Zoom accounts.

Breakout Rooms

In BigBlueButton meetings Instructors can create up to 24 additional spaces in a meeting for small-group discussions/activities. 

Zoom allows Hosts and Co-Hosts to create up to 50 additional spaces in a meeting (also called Breakout Rooms). Hosts also have the option to assign participants randomly or manually into Breakout Rooms, as well as the option to let users choose their own Rooms. Rooms can be created in the meeting by any Host or Co-Host, or in advance through the Zoom LTI.

Communication

In BigBlueButton, Users can activate their microphones and webcams, participate in and download the Public Chat, and engage non-verbally using Reactions. 

All of the Big Blue Button interaction features listed are available in Zoom, and can be toggled by users from their icon tray. Permissions for many of these features are tiered and can be restricted by Host and Co-Hosts.

Sharing Content

In BigBlueButton, the Presenter can upload a document, share their screen, or share an external video. The default slide deck and uploaded documents can be annotated. 

In Zoom, presentation documents cannot be uploaded to a meeting. Hosts and Co-Hosts can use the Share Screen option from their icon tray for presenting documents and other content. 

Basic screen sharing options in Zoom: 

  • Share monitor display(s) 
  • Share application views 
  • Share Whiteboard 

Advanced screen sharing options in Zoom: 

  • Share a portion of your monitor 
  • Share an audio or video file from your computer

Annotation tools are available for the presenter, and permission to use them can be extended to all participants. Any Share Screen materials can be annotated.

Polling

In BigBlueButton, Presenters can create multiple choice and text box quizzes on the spot. Results can then be displayed for all participants. 

In Zoom Hosts and Co-Hosts can create quizzes on the spot during a meeting. Hosts can create polls in advance when scheduling a meeting. Zoom meeting Hosts have the option to save questions to a library for use in other meetings. 

In Zoom, Polls fall into two categories: Basic and Advanced.

Basic Poll Types in Zoom: 

  • Single Choice 
  • Multiple Choice

Advanced Poll Types in Zoom: 

  • Matching 
  • Order/Rank 
  • Written Answer

Several questions can be asked in a single poll. Results can be shared with participants after the poll is closed. A record of participants’ responses can be accessed through the Zoom LTI after the meeting.

Zoom is a an external web-conferencing tool that can be connected to a Brightspace course. Zoom syncs with registered Zoom.us accounts to provide instructors and students with access to the following:

  • Meeting information, including the ID and date.
  • Meeting links to join your Zoom session.
  • Meeting Recordings.

NOTE: Zoom meetings joined via Brightspace are not hosted directly in the learning management system. Students will be prompted to join the meeting using their Zoom app.
WARNING: The email you use to log in for Zoom must match your Brightspace login email or you will receive an error 

Scheduling a Zoom Meeting within Brightspace

Zoom meetings can be scheduled directly in Brightspace. The process is similar to scheduling a new meeting in zoom.us or the Zoom app. This section will explain how to schedule a Zoom meeting in your Brightspace Zoom dashboard.

  1. Log in to with your My杏吧原创One credentials.
  2. On the Brightspace homepage, locate your course in one of the following ways:
    • Click on the course tile under the My Courses widget.
    • Click the Course Selector Grid  and select the course from the drop-down menu. If you are enrolled in more than 20 courses, you can search for the course name using the search bar.
  3. In the navbar, click Tools.
  4. Select Zoom from the drop-down menu.
  5. Click the Schedule a New Meeting button. You will be taken to the Schedule a Meeting page.
  6. Enter the following meeting details:
    1. Topic – Enter a meeting name.
    2. Description (Optional) – Enter a meeting description.
    3. When – Select a date and start time for your meeting
    4. Duration – Enter how long you estimate the meeting will take.
    5. Recurring (Optional) – Check this box if you plan on creating a recurring meeting. More options will appear for you to configure the date and time.
      NOTE: Scheduling a Recurring Meeting with a “daily, “weekly”, or “monthly” recurrence will automatically create a corresponding entry in the Brightspace Calendar Tool. Scheduling a “recurring” meeting with “no fixed time” will NOT generate an entry in the calendar tool. Should you wish to add a “No Fixed Time” entry to the Calendar tool, you must enter it manually. If you have a Passcode set for a fixed meeting or a meeting with fixed recurrences, ensure that the “Embed passcode in invite link for one-click join” is enabled in your personal settings at  so that students joining through the Calendar entry are not required to know the passcode.
    6. Registration (Optional) – Check the Required box if you want participants to register for the meeting in advance.
    7. Security – Enable or disable the following settings:
      • Passcode – Select this option to enable a password for your meeting. If selected, you will be prompted to enter a meeting passcode.
        NOTE: When using a meeting Passcode, ensure that the “Embed passcode in invite link for one-click join” is enabled in your personal settings at .
      • Waiting Room – Select this option to enable a waiting room for your meeting, If selected, the meeting host will need to manually admit participants into the meeting.
      • Require Authentication to Join: 杏吧原创 University Account – If enabled, participants who have not signed into Zoom using their MC1 credentials will not be able to join the meeting.
        NOTE: We recommend enabling the “require authentication to join” setting for your Zoom meetings to ensure that only users who have securely signed in to their 杏吧原创 account can join. For instructions, see Zoom Privacy and Security.
    8. Video – Determine whether you want the meeting to start with video automatically on or off for the host and participants.
    9. Audio – Determine whether participants can join via telephone, computer audio, or both. The default setting is both, which gives participants the option to join the meeting with audio connected either over the phone or their computer.
    10. Meeting Options – Enable or Disable the following settings:
      • Enable join before host (default setting) – This settings allows participants to join the meeting before the host. Deselect the checkbox if you do not want participants to join before the you launch the meeting as the host.
      • Mute participants upon entry – Selecting this box automatically mutes participants’ audio when they join the meeting. Participants can unmute themselves at any time once they have joined the meeting.
      • Use Personal Meeting ID – Select this option if you want to use your Personal Meeting ID. If you do not select this option, a unique meeting ID will be generated.
      • Record the meeting automatically – Select this option if you want your meeting to be automatically recorded when you start the meeting. You can then select whether you want the recording to be stored in the Cloud or on the Local Computer.
    11. Alternative Hosts (Optional) – Provide the email address of a participant who you will allow to serve as host in your place if you are unable to join.
      TIP: If you would like to have a Teaching Assistant or alternative Zoom host to help moderate your Zoom meeting, enter their email address within the Alternative Host area. The host must have a Pro License and their email must match their Zoom account login. It is recommended to confirm the email address with your alternative host.
  7. Click Save.
  8. You will see a meeting confirmation page, which includes buttons to add the meeting to a Google, Outlook, or Yahoo calendar. There is also a Join URL that can be copied and pasted into a communication to students.                   

Inviting an 杏吧原创 user not enrolled in your Brightspace Course to your Zoom meeting

  1. Create a Zoom meeting by following the steps outlined in the Scheduling a Zoom Meeting instructions.
  2. Once you have created your meeting, navigate to the meeting page in your Brightspace course module.
  3. Select the meeting link.
  4. Locate the Join URL.       
    This URL can be copied and pasted. Use this URL to invite 杏吧原创 University attendees not enrolled in your course to your meeting. If you need to invite a guest external to 杏吧原创 to your meeting, use the feature.

You can manage your course Zoom meetings from your Zoom dashboard within D2L Brightspace. From your Zoom dashboard, you can start or join a meeting, access your Zoom recordings, as well as access your Personal Meeting Room ID/Link to share your zoom meeting information with course participants.

Importing and Disassociating Zoom Meetings into Brightspace

You can then use it to import existing meetings associated with your Zoom Pro Account. You can manage settings for imported meetings directly in Zoom in the same fashion as those created in Brightspace.

Importing a Zoom Meeting into Brightspace

If you have previously created a Zoom meeting in the Zoom app, you may import the meeting into your Brightspace course. It will display under the “Upcoming Meetings” tab in the Zoom plug-in dashboard.

  1. Log in to with your My杏吧原创One credentials.
  2. On the Brightspace homepage, locate your course in one of the following ways:
      • Click on the course tile under the My Courses widget.
      • Click the Course Selector Grid  and select the course from the drop-down menu. If you are enrolled in more than 20 courses, you can search for the course name using the search bar.
  3. In the navbar, click Tools.       
  4. Select Zoom from the drop-down menu. You will be taken to your Zoom dashboard.
  5. Locate the meeting that you want to import.
  6. Copy the meeting ID.
  7. Click Course Meetings/Recordings to return to the dashboard.
  8. Click the vertical ellipses button and select Import Meeting from the drop-down menu.
  9. Paste the Meeting ID into the Meeting ID field and click Import.
  10. The meeting will now be displayed in the “Upcoming Meetings Tab” in the Zoom plug-in dashboard.

TIP: You may import meetings that were recorded to the cloud within the last 120 days into your course so the recording appears in the “previous meetings” tab. This may be useful for guest speakers, etc. that you want students to have access to. Zoom only stores recordings for 120 days before they are erased. However, all cloud recordings by a 杏吧原创 University Zoom host will automatically be uploaded to the hosts . This recording can be , and has a lifespan of at least 4 years. 

You have now imported a meeting into your Brightspace course and can access your meeting. 

Disassociating a Zoom Meeting from a Brightspace Course

Disassociate a Zoom meeting to remove the meeting from the “Upcoming Meetings” tab in your Brightspace course.

  1. Log in to with your My杏吧原创One credentials.
  2. On the Brightspace homepage, locate your course in one of the following ways:
      • Click on the course tile under the My Courses widget.
      • Click the Course Selector Grid  and select the course from the drop-down menu. If you are enrolled in more than 20 courses, you can search for the course name using the search bar.
  3. In the navbar, click Tools.       
  4. Select Zoom from the drop-down menu. You will be taken to your Zoom dashboard.
  5. Click the vertical ellipses button and select Disassociate Meeting from the drop-down menu.
  6. Paste the Meeting ID for the meeting you want to disassociate.
    NOTE: For more information about Meeting IDs and where to locate your Meeting ID, see Zoom’s support page.
  7. Click Disassociate.

WARNING: The “Delete” button deletes the meeting from both your Brightspace Zoom dashboard and your Zoom.us account. If you accidentally delete a meeting, you can restore it in zoom.us. See for more information on restoring deleted meetings.
