If you don&#8217;t know how to do this, <a href=\"https:\/\/support.google.com\/youtube\/answer\/57407\">here is a guide to uploading YouTube videos<\/a>.<\/li>\n<li>Open YouTube Studio by clicking your profile icon in the top right corner and selecting \u201cYouTube Studio\u201d from the dropdown menu.<img decoding=\"async\" loading=\"lazy\" class=\"alignright wp-image-16710 \" src=\"https:\/\/carleton.ca\/webservices\/wp-content\/uploads\/7-Content-and-edit.png\" alt=\"\" width=\"332\" height=\"219\" \/><\/li>\n<li>Click &#8220;Content&#8221; in the left-hand menu and then hover over the video to which you want to add subtitles. Click on the left-most \u201cDetails\u201d icon that appears.<\/li>\n<li>From this screen, scroll down to \u201cSubtitles\u201d in the column on the right and click on it.<\/li>\n<li>Choose the &#8220;Auto-sync&#8221; option and copy-paste your transcript into the text box.\n<ol style=\"list-style-type: lower-alpha;\">\n<li>YouTube will automatically try to sync the audio with the captions, but this may take a while.<\/li>\n<\/ol>\n<\/li>\n<li>When the transcript has been auto-synced, click &#8220;Edit Timings&#8221; to fix mistakes like timings or awkward sentence breaks and spacing.<\/li>\n<li>When finished, press the \u201cdone\u201d button in the top right corner.\n<ol style=\"list-style-type: lower-alpha;\">\n<li>See <a href=\"#best\">captioning best practices<\/a> for more information on what to edit in the captions.<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<h3><a id=\"best\"><\/a>Captioning best practices<\/h3>\n<p>When captioning, the goal is to make the captions as easy to follow as possible. To that effect, here are several suggestions of what to keep an eye out for when creating captions, both for auto-generated captions and transcripts:<\/p>\n<ul>\n<li>Fix any misidentified words &#8211; for example, a specialized term like CMS might be captioned by YouTube as &#8220;see a mess&#8221;.<\/li>\n<li>Similarly, incorrect homonyms (words that sound the same but have different meanings) should be caught and corrected &#8211; for example, &#8220;this training makes scents&#8221; should be corrected to &#8220;this training makes sense.&#8221;<\/li>\n<li>Use punctuation to convey pauses and breaks, while also staying mindful of the rules of punctuation.<\/li>\n<li>There isn&#8217;t a clear consensus on how to caption numbers, but a good rule of thumb is to stay consistent and format in whatever way is easiest to understand. For example, 53,412 is much easier to read in a caption than fifty-three-thousand, four hundred and twelve.\n<ul>\n<li>If you want further guidance on when to write out numbers versus using numerals, we recommend <a href=\"https:\/\/dcmp.org\/learn\/captioningkey\/606\">these guidelines on captioning numbers from the Described and Captioned Media Program (DCMP)<\/a>.<\/li>\n<\/ul>\n<\/li>\n<li>Try to break up sentences in the most complete way possible. For example: &#8220;The training consists of written modules, as well as a video.&#8221; could be a single caption or break between &#8220;modules,&#8221; and &#8220;as well as&#8221;. Splitting up the sentence anywhere else would unnecessarily complicate the meaning of the caption.\n<ul>\n<li>A good cue to follow in breaking up captions is where the speaker takes a pause. Speakers generally pause on commas, periods, and other places where it grammatically makes sense to split up a sentence.<\/li>\n<li>If you are looking for further guidance on how to break up captions, <a href=\"https:\/\/dcmp.org\/learn\/captioningkey\/597#3\">please see these guidelines on line division from the DCMP<\/a>.<\/li>\n<\/ul>\n<\/li>\n<li><a href=\"https:\/\/dcmp.org\/learn\/captioningkey\/600\">More guidelines from the DCMP on creating quality captions can be found here<\/a>.<\/li>\n<\/ul>\n<h2>Video<\/h2>\n<div class=\"content__video\"><iframe loading=\"lazy\" title=\"Module 5: Videos - YouTube Captions\" width=\"500\" height=\"281\" src=\"https:\/\/www.youtube.com\/embed\/z8X_bfb-XEk?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture\" allowfullscreen><\/iframe><\/div>\n<h3>Video Transcript<\/h3>\n<div class=\"slideme\"><dl class=\"slideme__list\"><dt class=\"slideme__term\"><a href=\"#slideme-module-5-videos-youtube-captions\" aria-expanded=\"false\" aria-controls=\"slideme-module-5-videos-youtube-captions\" class=\"slideme__heading slideme__trigger\">Module 5: Videos - YouTube Captions<\/a><\/dt><dd class=\"slideme__description\" id=\"slideme-module-5-videos-youtube-captions\" aria-hidden=\"true\"><p><\/p>\n<p><span style=\"font-weight: 400;\">Hello and welcome to module 5 of our accessibility training. This video will demonstrate how to auto-generate captions using YouTube, as well as captioning best practices.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">There are two general starting points for creating captions, depending on whether or not you already have a video script or transcript. For example, these training videos start off as scripts before being filmed as videos.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Luckily, though, YouTube\u2019s auto-generated captions greatly simplify the process of creating captions for videos without scripts. However, these captions are not always completely correct, especially when captioning videos with specialized language. So, while auto-generated captions make a great starting point if you do not have a script, we highly recommend editing these captions to correct language and timing errors.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We\u2019ll start with a tutorial on how to create auto-generated captions. If you are starting with a script, feel free to skip ahead to that section of the video<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Starting from the YouTube homepage, upload your video to YouTube. Click the create icon and select Upload Video.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Click Select Files and choose your video file. Once the file is uploaded, you can edit details like the title, description, thumbnail, and more. We\u2019re going to skip these details for this tutorial and simply click next until we reach the publish button. We\u2019re just going to switch this sample video to unlisted, and click Save. These next steps will also work if you publish the video, but we recommend filling out the previous details and finalizing your captions before publishing.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Close this pop-up, and you\u2019ll find yourself in the YouTube Studio. From here, select Subtitles from the left-hand menu. Next to your video, there will be a languages column, with a list of numbers underneath. If the number next to your video is 1, the video has likely not auto-generated captions yet. Just return to this page later and refresh it.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Once the number has changed to 2, click the dropdown arrow. Find the row that has (Automatic) at the end of its name and click the Duplicate and Edit option to the right.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Here, you will be able to edit the captions. By clicking the \u201cEdit Timings\u201d button you can simultaneously edit the text of the captions and when they appear.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Later in this video, we\u2019ll go over some captioning best practices to help you with the process of editing your captions in this screen.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you are starting with a transcript, you can either upload it during the process of uploading your video, or, like with the auto generated captions, go in after uploading to add the captions.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If your video has not already been uploaded, start by uploading it to YouTube. Follow the same steps as before: hovering over the create icon, clicking upload video, and selecting your file. Again, you can edit the details of your video here, but once you\u2019re done, click the \u201cNext\u201d button only once. From here, click \u201cAdd\u201d next to Add Subtitles. There are a few options here, but the easiest is to click auto-sync and paste in your text. Once you\u2019ve done this, click \u201cEdit Timings\u201d. If you have quite a lot of text, you\u2019ll likely encounter a pop-up informing you that synching the captions to the timeline is taking longer than expected. Simply click \u201cSave and Close\u201d and then return to edit when the transcript is done synching with the audio.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">However, if you\u2019ve already uploaded your video and want to add captions, you can do this by going to the YouTube Studio.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">On the YouTube homepage, click your icon in the top right and select YouTube Studio. Click content in the menu on the left and find the video you want to add subtitles to. When you hover over the video, these icons will pop up. Click the \u201cDetails\u201d one on the left.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You\u2019ll be taken to the Video details page. Scroll down to \u201cSubtitles\u201d in the right-hand column and click on it. From here, choose the Auto-sync option and paste in your transcript. Again, it might take some time for YouTube to match up your transcript to the audio timings so you can select \u201cSave Draft\u201d and check back in to see if the \u201cEdit Timings\u201d option is available.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">When you can click the \u201cEdit Timings\u201d option, use that screen to fix mistakes like synching errors, misspellings, or strange sentence breaks and spacings.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Whether you\u2019re auto-generating captions or using a transcript, you will need to check over your captions for errors. We\u2019ll go over a few of the most common things to check for when editing captions, but be sure to make any other changes that would make the captions as correct and easy to follow as possible.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">When auto-generating captions, YouTube is not always perfect at identifying the words that are spoken, especially when working with specialized language. Correct any misidentified words to what is actually being said.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Homonyms are words that sound the same but have different spellings and meanings. Similarly to the previous point, sometimes auto-generated captions will pick the wrong homonym when translating speech to text. Correct these mistakes by substituting in the right spelling.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Use punctuation to indicate breaks and pauses in speech, but be sure to still follow standard rules of punctuation.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">The choice of writing out a number or using a numeral is yours, but stay consistent and do what is easiest to understand. For example, reading 53,412 as a numeral is much easier than reading fifty-three-thousand, four hundred and twelve written out.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Break up captions in the most complete and natural way possible. For example, the best places to end one caption and start another are generally where commas and periods occur.
