Please review these procedures in-depth <em><strong>prior<\/strong> <\/em>to submitting a space booking request as you and your group will be responsible for ensuring they are upheld over the duration of your event.<\/p>\n\n\n\n<h3 id=\"space-set-up\" class=\"wp-block-heading\">Space Set-Up<\/h3>\n\n\n\n<p>The Student Experience Office is not responsible for the set-up process of the event space. It is the responsibility of the individual\/group to take the necessary steps to ensure they have any accommodations in place that will be needed to host their event <em>beforehand<\/em>. This includes making additional arrangements such as audiovisual services through TLS, Dining Services for catering, or CUSA for additional tables\/chairs.<\/p>\n\n\n\n<p>The event organizer is also responsible for ensuring the space is restored to its original condition and layout once their booking has come to an end. Failure to do so may result in caretaking charges to the individual who booked the space.<\/p>\n\n\n\n<h3 id=\"food-and-beverage-services\" class=\"wp-block-heading\">Food and Beverage Services<\/h3>\n\n\n\n<p>Groups of students are not permitted to bring food onto campus for group activities, sales or any other purpose. If you are planning to have food at your event, please contact <a href=\"https:\/\/dining.carleton.ca\/catering\/\" target=\"_blank\" rel=\"noopener noreferrer\">Dining Services Catering<\/a>. Exemptions to this policy can be obtained by following the process outlined in the University\u2019s <a href=\"https:\/\/carleton.ca\/secretariat\/wp-content\/uploads\/Food-Services-Policy.pdf\" target=\"_blank\" rel=\"noopener noreferrer\">Food Services Policy<\/a>.<\/p>\n\n\n\n<h3 id=\"audio-visual-equipment-services\" class=\"wp-block-heading\">Audio-Visual Equipment Services<\/h3>\n\n\n\n<p>Classroom audio-visual equipment can be booked through <a href=\"https:\/\/carleton.ca\/tls\/media-production\/\" target=\"_blank\" rel=\"noopener noreferrer\">Teaching and Learning Services (TLS)<\/a>. Students receive a discounted rate from TLS. The misuse or unauthorized use of TLS equipment can result in the suspension of space booking privileges and\/or charges to the account of the student who booked the room.<\/p>\n\n\n\n<h3 id=\"procedure-violations\" class=\"wp-block-heading\">Procedure Violations<\/h3>\n\n\n\n<p>Violation of the Space Booking Contract by an individual or group may result in the forfeiture of space booking privileges and\/or charges to the account of the student who signed the contract. Room bookings will be audited to ensure that the use of space is in accordance with the Space Booking Contract.<\/p>\n\n\n\n<h2 id=\"risk-management-forms\" class=\"wp-block-heading\">Risk Management Forms<\/h2>\n\n\n\n<p>Campus events are an integral part of the 杏吧原创 University community. They bring together community members from many diverse backgrounds and enhance the university experience. To ensure that all university sanctioned events (both on and off campus) are appropriately planned and safe, community members are required to complete the Events Risk Management Form&nbsp;<strong>minimum<\/strong> <strong>14 days before your event<\/strong>.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Please note events during the final examination period and end of fall term (April 11th &#8211; 23rd) will only be approved if they are academic in nature, such as study workshops or general club meetings.<\/strong><\/p>\n\n\n\n<div class=\"wp-block-buttons is-content-justification-center is-layout-flex wp-container-core-buttons-is-layout-16018d1d wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/sarms.carleton.ca\/event-risk\" target=\"_blank\" rel=\"noreferrer noopener\">Events Risk Management Form<\/a><\/div>\n<\/div>\n\n\n\n<p>The Events Risk Management Form should be completed if your event has one of the following elements:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Scheduled activity occurring on or off campus;<\/li>\n\n\n\n<li>Features a speaker;<\/li>\n\n\n\n<li>Alcohol is being served;<\/li>\n\n\n\n<li>A sports-like activity is planned;<\/li>\n\n\n\n<li>Transporting students by means of chartered bus or rental vehicle;<\/li>\n\n\n\n<li>Any activity that has the potential to result in damage to the individual person, or physical property.<\/li>\n<\/ol>\n\n\n\n<p>In the event you are not sure your event has any potential risks associated with it, then err on the side of caution and complete the Risk Management Form. Completing it will only take 5-10 minutes.<\/p>\n\n\n\n<p><strong>NOTE:<\/strong>&nbsp;It is important to complete the Events Risk Management Form for the following reasons:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>To provide adequate time to plan resources to support events.<\/li>\n\n\n\n<li>University staff can offer advice or assistance in helping to organize an event and help to assess any risks that may associate with their activity;<\/li>\n\n\n\n<li>To ensure a student activity is covered by insurance (either CUSA\u2019s or the University\u2019s); if your event is not approved by the University, you may be personally required to accept any liabilities that result from your activity. <strong>Protect yourself by using the Risk Management Process.<\/strong><\/li>\n<\/ol>\n\n\n\n<p>Failure to submit a Risk Management Form may result in the cancellation or delay of space booking requests, as well as impact future space booking privileges for the accredited student organization\/group.<\/p>\n\n\n\n<p>In the case that Campus Safety or the University\u2019s Risk Management Committee mandates the presence of security for an event, such additional services (provided by Campus Safety or otherwise) will be at the full expense of the organization sponsoring the event.<\/p>\n\n\n\n<h3 id=\"not-sure-if-your-space-booking-request-requires-a-risk-management-form\" class=\"wp-block-heading\">Not sure if your space booking request requires a Risk Management Form?<\/h3>\n\n\n\n<p>Examples of space booking requests that require a Risk Management Form submission in addition to the types of events listed above.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Movies, trivia, board games events<\/li>\n\n\n\n<li>Workshops and trainings<\/li>\n\n\n\n<li>Video game events<\/li>\n\n\n\n<li>Paint or craft events<\/li>\n<\/ul>\n\n\n\n<p>Examples of events\/activities that do not require a Risk Form:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Reoccurring club membership meetings<\/li>\n\n\n\n<li>Executive meetings<\/li>\n<\/ul>\n\n\n\n<p>If you have questions concerning the Student Events Risk Management form, please email <a href=\"mailto:risk@carleton.ca\" target=\"_blank\" rel=\"noopener noreferrer\">risk@carleton.ca<\/a><\/p>\n\n\n\n<h2 id=\"book-a-space-now\" class=\"wp-block-heading\">Book a Space Now!<\/h2>\n\n\n\n<p>If you are ready to book a space, click on the button below to be directed to the Enterprise Portal. Space booking request should be made <strong>a minimum of 14 days in advance<\/strong> in order to be taken into consideration and processed in time. Booking requests that require a Risk Management Form will not be approved without an approved Risk Management Form. Please note, the Enterprise portal will not allow submissions within a 5 day period.<\/p>\n\n\n\n<p><strong class=\"myprefix-text-bold\">Please note bookings during the final examination period (April 11th &#8211; 23rd) will only be approved if they are academic in nature, such as study workshops or general club meetings.<\/strong><\/p>\n\n\n\n<div>\n<\/div>\n\n\n\n<div class=\"wp-block-buttons is-content-justification-center is-layout-flex wp-container-core-buttons-is-layout-16018d1d wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link wp-element-button\" href=\"https:\/\/booking.carleton.ca\/\" target=\"_blank\" rel=\"noreferrer noopener\">Book a Space<\/a><\/div>\n<\/div>\n\n\n\n<p>&nbsp;<\/p>\n\n\n\n<h2 id=\"other-space-booking-options\" class=\"wp-block-heading\">Other Space Booking Options<\/h2>\n\n\n\n<h3 id=\"library-space\" class=\"wp-block-heading\">Library Space<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The MacOdrum Library offers&nbsp;<a href=\"https:\/\/library.carleton.ca\/services\/study-rooms\" target=\"_blank\" rel=\"noopener noreferrer\">bookable study rooms<\/a>&nbsp;for individual and group use.<\/li>\n<\/ul>\n\n\n\n<h3 id=\"cusa-clubs-and-societies\" class=\"wp-block-heading\">CUSA Clubs and Societies<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/www.cusaonline.ca\/clubs\/bookings\/\" target=\"_blank\" rel=\"noopener noreferrer\">CUSA provides booking services<\/a> for several spaces both on and off campus. Additionally, CUSA offers tables, chairs, and access to equipment such as projectors and speakers. Bookings are free for all registered CUSA Clubs &amp; Societies with a refundable deposit for some items and are available to other organizations for a small fee.<\/li>\n<\/ul>\n\n\n\n<h3 id=\"nideyinan-galleria\" class=\"wp-block-heading\">Nideyin\u00e0n Galleria<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Students can&nbsp;<a href=\"https:\/\/carleton.ca\/campuscard\/galleria-booking\/\" target=\"_blank\" rel=\"noopener noreferrer\">book space in the Galleria<\/a> through the Campus Card Office.<\/li>\n<\/ul>\n\n\n\n<h3 id=\"conference-services\" class=\"wp-block-heading\">Conference Services<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Students can&nbsp;<a href=\"http:\/\/conferenceservices.carleton.ca\/inquire-now\" target=\"_blank\" rel=\"noopener noreferrer\">book a multipurpose space<\/a> through Conference Services for a fee.<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Procedures The Student Experience Office manages the allocation of classroom space through the EnCampus Enterprise Portal for 杏吧原创 University-accredited campus groups, academic societies, and CUSA certified clubs.
