How to Use the Scheduling Assistant:

  1. Go to your Calendar:ÌýIn the Microsoft Teams app, select the Calendar tab on the left-hand side.Ìý
  2. Start a New Meeting:ÌýClick the “New meeting” button, usually in the top right corner.Ìý
  3. Enter Meeting Details:ÌýAdd the meeting’s title, location, and required or optional attendees in the “People” field.Ìý
  4. Select the Scheduling Assistant:ÌýIn the new meeting window, click on the “Scheduling Assistant” tab to open it.
  5. View and Find Availability:ÌýThe Scheduling Assistant will display the attendees’ calendars, showing their availability with different visual indicators (shaded, blank, single lines, etc.).Ìý
  6. Select a Time:ÌýClick on a time slot within the grid where all required attendees are available.ÌýYou can also adjust the dates or use the “Suggested” times feature to find a suitable slot.
  7. Send the Invite:ÌýOnce you’ve selected the time, go back to the meeting details and click “Send” to invite everyone.Ìý

Creating / Uploading Files

Whether you use the Teams app (recommended) or a web-browser (IE, Edge, Chrome, Firefox), clicking on the Files tab will open the following page:

  1. Selecting “New” will allow you to create a new folder, or a new file, using the online versions of Word, Excel or PowerPoint.
  2. You can upload a file by clicking on “Upload“, or by simply dragging a file into the area below.

Editing a file using the Teams app (e.g. Word in Teams)

  1. Select the “Files” tab and navigate to the file you wish to Edit
  2. Right-click on the file and select “Edit in Teams”

Editing a file using a local program (e.g. Word) on your Computer

  1. Select the “Files” tab and navigate to the file you wish to Edit
  2. Right-click on the file and select “Edit in Word” – this will launch a the Word app on your computer
  3. When you are finished be certain to press “Save” – this will save the file back to the Teams cloud service

Uploading a Folder to Teams

  1. Select the “Files” tab and navigate to where you wish to upload the folder
  2. Select “Open Files in SharePoint” – this will open a new browser window (you may need to authenticate, if you are in the Teams app)
  3. Drag the folder into the window that opens

Downloading a Folder to Teams

  1. Select the “Files” tab
  2. Select “Open Files in SharePoint” – this will open a new browser window (you may need to authenticate, if you are in the Teams app)
  3. Right-mouse on the Folder to download, and select “Download”

Recover a previous version of a file

  1. Select the “Files” tab
  2. Select “Open Files in SharePoint” – this will open a new browser window (you may need to authenticate, if you were in the Teams app)
  3. Right-click on the file for which you wish an earlier version and select “Version history”
  4. You will be presented with the previous edits of the file, along with which userid edit them. Clicking on any version will download it to your computer, where you can examine it, and re-post it if you wish.

Conversations

Whether you use the Teams app (recommended) or a web-browser (IE, Edge, Chrome, Firefox), the Teams landing page will be presented:

  • Only those Teams sites of which you are a member are listed. See Note 1 in Figure below.
  • The default channel is called “General”. Each channel has its own Conversations and Files tab. We recommend you start with a single channel; your team owner can add additional channels. See Note 2 in figure below.teams landing page

Sending a Notice of Conversation

  • All conversation entries are visible to all team members when they visit the Teams site. But you can send an immediate notice to specific team members or to the team site (i.e. to ALL members) by beginning your conversation entry with @ + the first few letters of their name. See Note 3 in the figure above.
  • Users with the Teams app or website open, will receive immediate notification. The icons of unopened Teams apps on desktops or mobiles will show an unread message count badge, as shown below:
