On Thursday, October 10th, Duncan became a member of ITS Ancillary Systems, effectively increasing our staffing component by 50%!

Prior to “taking Duncan to work”, my interactions with Duncan were limited to a few handshakes or presentations to senior management… not really conducive to discuss business one-on-one, so when he announced he would visit some departments, I jumped at the opportunity to invite him to our small department.

Ӱԭ Ancillary Systems

Ancillary Systems staff support everything Campus Card related.  This includes production of the actual card and support of all of the “touch points” where the campus card can be used across campus and beyond.  Supported services are:

  • copying
  • printing
  • bookstore purchases
  • vending
  • laundry

  • meal plan usage
  • physical security through an ever-growing number of CBORD access doors across campus

We have also expanded our reach to allow for payment of

  • parking fees
  • Pay & Display fees
  • CUOL extension course fees
  • local taxis

We accept payment onto campus cards in person or via web or mobile applications, and recently added payroll deduction.

In short, if anyone in the Ӱԭ community needs to eat, buy something, pay for something, or gain secure access past a door, they are a client of Ancillary Systems!

In Dickensian tradition, discussions were much like a visit from ghosts of past, present and future.  We have grown from 4 to 11 servers.  We have eliminated some of the archaic equipment from our environment and we have deployed state of the art equipment in other areas.  We now support over 850 doors, and this number is growing.  On average, someone is swiping a campus card every 3 seconds!

The campus card system now plays a strategic role in the continuous expansion of Ӱԭ University and integration with other enterprise systems is key in supporting Ӱԭ’s initiatives in stewardship of resources and sustainability.

The ‘Take Duncan to Work’ Opportunity

As a middle manager, it is often difficult to feel that what we do matters, but discussions were very inclusive.

Overall, Duncan’s short time with Ancillary Systems was frank, positive, and motivating.  It is encouraging that senior management is showing a truly vested interest.

On a personal level, Duncan most engaging and caring.  I would encourage any department within F&A who has not taken advantage of this opportunity to reconsider.

Leading a number of successful initiatives /its/2011/applications-development-team-took-the-lead-on-a-number-of-successful-initiatives/?utm_source=rss&utm_medium=rss&utm_campaign=applications-development-team-took-the-lead-on-a-number-of-successful-initiatives Tue, 03 May 2011 19:05:08 +0000 http://carleton.ca/its/?p=7697 In addition to the on-going administration/integration of Ӱԭ’s core administrative systems that touch all students, faculty and staff; the Applications Development team have played leadership roles in a number of successful initiatives over the past year.

Tools / Systems Delivery
Within the Registrar’s Office and Student Support Services domains (undergraduate and graduate levels) we have collaborated on the delivery of a variety of tools/systems that directly or indirectly enhance the experience of our students.

Some of the highlights include:

  • the interactive degree audit;
  • personalized exam schedules;
  • registration enhancements (incl. wait-listing);
  • Emergency Notification System;
  • and UHIP administration;
  • display of student photos on class rosters;
  • advising and tutorial service improvements; and
  • that supports the administration needs of Ӱԭ’s Teaching Assistant’s.

Fundamental System Upgrades
The AD group is often called upon to execute a major upgrade to one or more of our foundational systems, and this past year was no exception.

In November 2010 the Oracle database that supports the Banner system was successfully upgraded to the latest version (11G).

2010 also saw the technical infrastructure put in place for the new Banner Document Management System. This infrastructure will provide us with the foundation that many future projects will rely on.

Campus-Wide Initiative Support
The Finance and HR/Payroll teams played key roles in support of campus-wide initiatives such as the Identity and Access Management/BEIS project, as well as Finance & Administration projects touching diverse areas such as Learning & Development, A/P Direct Deposits, PCards and the implementation of new collective agreements into payroll.

Busy Month for Applications Development /its/2011/busy-month-for-applications-development/?utm_source=rss&utm_medium=rss&utm_campaign=busy-month-for-applications-development Mon, 07 Mar 2011 18:23:45 +0000 http://carleton.ca/its/?p=7064 During the month of February, Application Development was focused on, among other things,  the statutory year end reporting for T4’s T4A’s and T4ANR’s, providing all constituents of Ӱԭ their appropriate forms either in paper format or  electronically. All forms issued are also reported to the Canadian Revenue Agency.

In conjunction with Web Services, a new training course was made available via Ӱԭ Central for Workplace Violence and Harassment Prevention training. This included course delivery as well as tracking course completion in Banner.
