Office Add-ins for Microsoft 365 Apps

Office Add-ins and Apps provide optional, custom commands and features to Microsoft 365 Apps. These are available to discover from the Office Add-ins dialog in applications like Word, Excel, and Outlook. You can also find them online through the Apps marketplace in the Microsoft 365 portal.

Because add-ins can be used by attackers to do harm to your computer and university data, security settings are in place to protect you and university resources.

Users may enable some Add-ins and Apps themselves. These include Add-ins and Apps from verified publishers and meet low data security risk thresholds.

Apps and Add-ins that exceed these criteria must be reviewed by a Data Protection Risk Assessment (DPRA).

Before requesting an assessment, these criteria should be met:

Are you an active full-time staff or faculty member (not a student)?
Does the Add-in or App have the support of your department or faculty leadership?
Is the Office Add-in or App required to complete a function of university business or required as part of academic course work?
Does the use of the Add-in or App support university policies or priorities?

Switching from the installed version of Microsoft Office to the cloud-based version, Microsoft 365 (formerly known as Office Online), is a straightforward process. Here’s how you can make the transition:

Access Microsoft 365 Online

Sign in to Microsoft 365:
- Open your web browser and go to .
- Sign in with your MC1username@cunet.carleton.ca account and password.
Use Web-Based Apps:

- Once signed in, you’ll see web versions of Word, Excel, PowerPoint, and other Office apps.
- Click on the app you want to use—everything runs in your browser without needing an installation.

Transitioning from Installed Office

Save & Move Your Files:
- If you have documents stored locally, you can upload them to OneDrive for seamless cloud access.
- Sign into and upload files, or drag and drop them directly.
Set OneDrive as Default Storage:
- When working in Microsoft 365, files are saved automatically to OneDrive.
- You can also set OneDrive as your default save location in installed Office apps for easier syncing.
Consider Uninstalling the Installed Version (Optional):

If you no longer need the installed version of Microsoft Office, you can uninstall it via:

- Windows: Go to Settings��&��;��Apps��&��;��Installed Apps, then locate Microsoft Office and select Uninstall.

�Ӱ�ԭ�� provides email services for students, staff, and faculty, using the Microsoft 365 (M365) suite–formerly the Microsoft Office 365 suite. The M365 license is dependent on your status at the university, details below.

Student Microsoft Licensing

1. Receiving Your License:

Eligibility: Once an active student, you are eligible for an M365 license.
Activation: Your M365 license will be automatically assigned.
Installation: You can install M365 on up to five personal devices, instructions found here.

2. Using M365:

Access: Log in to your M365 account using your �Ӱ�ԭ�� University Cmail account and password via .
Features: Access to a suite of M365 applications including Word, Excel, PowerPoint, Outlook, Teams and OneDrive.

3. License Removal:

Upon graduation the M365 license is removed. This removes access to the M365 suite, Teams and OneDrive. To prevent loss of data, steps should be taken to retrieve or back up items stored in repositories like OneDrive and Teams.
There will be no change to your �Ӱ�ԭ�� email. Your @cmail.carleton.ca address will remain available for you to send and receive emails at outlook.office.com.

Staff Microsoft Licensing

1. Receiving Your License:

Eligibility: As a newly hired staff member, you are eligible for an M365 license.
Activation: Your M365 license will be automatically activated upon your hiring.
Installation: You can install M365 on up to five personal devices, instructions found here.

2. Using M365:

Access: Log in to your M365 account using your �Ӱ�ԭ�� University MC1 credentials via .
Features: Access to a suite of M365 applications including Word, Excel, PowerPoint, Outlook, Teams and OneDrive.

3. License Removal:

Leaving the University: When your employment status ends with �Ӱ�ԭ��, the CU M365 license will be revoked and you will no longer have access to the software, this includes @cunet email.

Faculty Microsoft Licensing

1. Receiving Your License:

Eligibility: As a newly hired faculty member, you are eligible for an M365 license.
Activation: Your M365 license will be automatically activated upon your hiring.
Installation: You can install M365 on up to five personal devices, instructions found here.
Honorary Title: (Prof Emeritus/Adjunct) Access your M365 account with your @cunet.carleton.ca email address via , this does not include access to download the desktop applications.

2. Using M365:

Access: Log in to your M365 account using your �Ӱ�ԭ�� University MC1 credentials via .
Features: Access to a suite of M365 applications including Word, Excel, PowerPoint, Outlook, Teams and OneDrive.

3. License Removal:

Leaving the University: If you leave �Ӱ�ԭ�� University, your Office 365 license will be revoked and you will no longer have access to the software.
Retired Faculty: Retired faculty will no longer have access to the downloaded or installed versions of Microsoft Office. However, they will continue to have access to the cloud-based versions of Office applications by signing into with your @cunet.carleton.ca email address. Access to existing data remains unchanged.
Contract Instructors: Upon the end of your teaching contract, the CU M365 software license will be adjusted. You will lose access to the desktop applications, however, you can continue to use the online cloud version of M365 by signing into . with your @cunet.carleton.ca email address for 2 years.

Request license Extension: Non‑paid faculty can request a full Microsoft M365 license with access to the installed Office applications. Dean approval is required and can be requested by completing this .

Editing Not Allowed on M365 Applications on Mac’s

The Fix

�Ӱ�ԭ��

This is a common issue for M365 applications on Mac’s, Office 365 local applications such as Word are, at times, unable to detect that they are activated.

What is the cause “Editing Not Allowed” on Office Applications on Mac

The problem lies with the software’s ability to detect correct licenses, which stops users from editing their documents.

The Fix

Option 1:

Back end files have not been fully removed.

On a Mac to fully uninstall and remove back end files you need to download a tool from the link below:

Once the tool is done, Download from App store after and sign in.

Option 2:

If the problem persists, uninstall and re-install M365

Open Finder and click on Applications
Press the Command key click to select all of the Office applications like Word, Outlook for Mac applications
Press Ctrl and click the selected applications. Then click Move to Trash from the options window
Log into the M365 portal , and reinstall M365

Option 3:

Have the user log out and back into their M365 account so the system recognizes the license

User will want to close all M365 applications (locally installed and web version).
Log out of their M365 account using this link:
On the top right they should either see their initials or a profile picture, click on that and choose the sign out option on the menu
Open the Library folder (*If using a more recent OS* Go to Finder and at the Go menu, press option key and click on Library) and then open Group Containers and move these files to Trash if they are present

They can now use the same to sign back into the M365 account and launch the Office applications without issue (hopefully).

Once someone becomes a current student at �Ӱ�ԭ�� they are entitled to a Microsoft M365 license. This gives you access to the Office suite as well as a list of other resources, like Teams.

Uninstall previous Office versions before installing Office M365 with your Cmail account. Refer to Microsoft’s for assistance.

Steps to Get Office M365

Go to the .
Sign in using your �Ӱ�ԭ�� email address (in the following format firstnamelastname@cmail.carleton.ca) and password.
Click on the ‘Install Office’ button, this will download the install file. Once downloaded open the file and follow the onscreen instructions.

Note: Microsoft also offers students additional services to holders of Microsoft 365 email addresses, while they maintain student status.

Access Office M365 Online

To access the web-based versions of the Office applications, which offer many of the same features visit and sign in with your cmail address and password.

Student M365 licenses are removed upon graduation

What Services Are Affected?

When you become an alumna/alumnus you will lose access to the Microsoft Office suite, OneDrive and Teams services originally provided by �Ӱ�ԭ��.

Furthermore, any data you have stored in OneDrive and/or Teams will be deleted by Microsoft.

How Can You Retain Access to Affected Services?

Microsoft offers for personal and family use that offer access to the Microsoft Office suite, OneDrive, Teams and more. If you subscribe to one of these plans before your access is lost, you can transfer that data to your new plan.

Additionally, if you re-enroll in an academic program at �Ӱ�ԭ��, your Cmail account will once again be provisioned with the affected services listed above.
