This policy, which came into effect April 2018,聽granted a grace period of over a year to allow cellular services to be moved to 杏吧原创鈥檚 Corporate plan.

If you are currently being reimbursed from operating or ancillary funds, please contact the聽ITS Service Desk at聽its.service.desk@carleton.ca聽or at ext. 3700 to have your mobile/cellular plan moved over to the corporate plan. Faculty members wishing to charge to their Professional Expense Reimbursement (PER) fund directly may take advantage of the corporate plan by contacting the ITS Service Desk.

This policy only applies to the acquisition of mobile/cellular services with operating, ancillary or PER funds. 聽If you are currently claiming re-imbursement for mobile/cellular charges on any other fund (e.g. research) you may continue to submit for reimbursement.

There are additional exceptions to this policy, including employment status (ex: part time). 聽For more information, please聽refer to the Acquisition of Wireless Cellular Services Policy.

Effective June 1, 2019, 杏吧原创 will no longer reimburse personal plans. Employees who require a mobile device to their job will need to transfer to the 杏吧原创 Corporate plan. For more information, please refer to the Acquisition of Wireless Cellular Services Policy.

To transfer your person line over, please put a ticket in with the ITS Service Desk at its.service.desk@carleton.ca or call ext. 3700.

In the interim, the following maximum reimbursement limit for personal devices is currently in place:

  • $58/month (plus taxes) for personal expenses
  • $42/month (plus taxes) for international roaming

As per the policy, effective immediately the individual will be responsible for any charges exceeding these amounts.

Effective June 1, 2019, all full-time faculty and staff requiring a mobile device for business purposes are required to use the University鈥檚 centrally managed corporate account.

杏吧原创 University permits the use of a corporate device for personal use providing it is in accordance with the university’s Acceptable Use Policy for Information Technology and any costs or surcharges associated to the personal are reimbursed to the university.

The University has set of terms and conditions that include but are not limited to:

  • Maximum reimbursement limits for personal devices
  • National and International packages
  • Device damage

All users of mobile devices are responsible for:

  • Ensuring reasonable measures are taken to protect the device from physical damage or theft
  • Ensuring that safeguards and protection mechanisms intended to protect data on mobile technologies are not tampered with or modified
  • Immediately reporting the loss or theft of a mobile device to the ITS Service Desk

If you are having your personal phone reimbursed by the university, please contact the ITS Service Desk聽to have your phone transferred over to the corporate plan.

Prior to the policy, the university was covering all expenses incurred on mobile devices.

The new policy, titled Acquisition of Wireless Cellular Services, stipulates a maximum reimbursement limit for personal devices. The new maximum amount is:

  • $58/month (plus taxes) for personal expenses
  • $42/month (plus taxes) for international roaming

As per the policy, effective immediately individuals will be responsible for any charges exceeding these amounts.

In addition, effective June 1, 2019, 杏吧原创 will no longer reimburse personal plans.聽 All employees who require a mobile device to their job will need to transfer to the 杏吧原创 Corporate plan.

This new policy was created to ensure the secure and economical management of mobile devices used for conduct of 杏吧原创 University business.

Protect your Mobile Devices /its/2016/protect-mobile-devices/?utm_source=rss&utm_medium=rss&utm_campaign=protect-mobile-devices Mon, 10 Oct 2016 15:27:36 +0000 http://carleton.ca/its/?p=20856 October is Cyber Security Awareness Month.聽 We all have a key role to play in keeping our home computers and personal devices secure online. We also play a big part in keeping our businesses safe from cyber threats.

This week we鈥檙e talking about protecting your computers and mobile devices.

Risks to mobile phones, especially smartphones and Bluetooth-enabled phones, are becoming increasingly common. Aside from the actual physical loss of your mobile phone, which could put personal information in the wrong hands, there are several ways your mobile phone can be compromised.

What are the risks for mobile devices?

  • 听辞谤听聽can be spread through anything you download from the Internet via your phone, by text attachments (MMS, which means multimedia messaging service) and by Bluetooth transfers.
  • 聽by phone is another way cyber criminals scam you. They’ll send a text or email with a phone number for you to call to verify account information. They may also call you directly and ask you to enter your account number before continuing.
  • 聽attached to app downloads can delete your files and record personal information you’ve entered (like a credit card number on an online shopping site). Do not install apps that seem to require an unusual amount of information from you.
  • An unsecure wireless network can compromise your information, including your contact list, as well as give someone else use of your data plan. Using your 3G connection is a safer option.
  • Mobile phones are small and can easily be stolen, potentially putting your stored usernames and passwords in the wrong hands.
  • Prompts from companies you don’t recognize may ask you to update, install or run software that could contain malicious software.
  • Text messages sent to basic phones that contain malware can shut down or completely crash your mobile phone.
  • Your mobile device could be cloned by clever criminals who copy the serial number to another phone and make fraudulent calls you’re charged for.

What you can do to minimize your risk:

  1. Set up your phone with a strong password that you change regularly. This will protect your information not just from hackers, but from someone who finds your phone if you lose it.
  2. Only connect by Wi-Fi with trusted, password-protected networks, and turn off settings that automatically search for Wi-Fi networks. Hackers lurk on unprotected networks.
  3. When downloading an app, take a good look at the permissions, and don’t just click 鈥渁llow鈥 to everything. What appears to be a fun app may in fact be a ‘Trojan Horse’, which gives a hacker access to your system once you install it.
  4. Before you click on something, think seriously about where it came from. Viruses and worms can infect your mobile phone from anything you download, from text attachments and Bluetooth transfers.

Signs your mobile phone has been compromised:

  • You receive charges to your phone bill you don’t recognize.
  • There are emails and text messages in the sent folder that you didn’t send.
  • The user interface has changed meaning the appearance of your phone or the way you perform functions has been altered.

If you think your mobile device has been infected with malicious software, call your manufacturer or service provider.

Use an iPhone? When you鈥檙e using a bad Wi-Fi connection, it switches over to cellular data. (Typically, your phone switches over to a cellular connection when Wi-Fi becomes unavailable. With Wi-Fi Assist, it kicks in when Wi-Fi meets what it deems as a 鈥減oor鈥 connection.) 聽To avoid unexpected data overage聽charges we recommend turning this feature off.

How to Turn off Wi-Fi Assist

Wi-Fi Assist will automatically switch to the cell network for data if it detects an inconsistent Wi-Fi signal. To turn off this feature:

  1. Tap the Settings app
  2. Tap Cellular Data & scroll to bottom
  3. Toggle Wi-Fi Assist switch to the right of the app for which you wish to disable it to off.
    The switch will become grayed-out when toggled off.

Secure and Protect your Mobile Devices /its/2016/secure-protect-mobile-devices/?utm_source=rss&utm_medium=rss&utm_campaign=secure-protect-mobile-devices Thu, 02 Jun 2016 17:19:13 +0000 http://carleton.ca/its/?p=20224 The increased use of mobile technologies; e.g.; laptops, smartphones, tablet computers, and portable storage devices, enables the processing, accessing and storage of sensitive University data outside of the physical and logical security boundaries of the University鈥檚 network.

To ensure the confidentiality, integrity and availability of information and information systems at the University, information security requirements must be placed on the use of mobile technology within the operations of the University.

If you use a portable computer, employ the following safeguards in the event that the device is lost:

  • Install and enable Firewall software
  • Use 杏吧原创’s enterprise antivirus
  • Install updates and patches when prompted
  • Use a strong password
  • Enable disk encryption

If you need help employing any of these safeguards, .

In addition to protecting your device, you should:

  • Lock up your university owned laptop or tablet when you are not around, either in a secure area or via a cable-lock.
  • Store sensitive information on your portable computer only for as long as it is required and remove the data in a secure manner when it is no longer needed.
  • Dispose of university owned portable computers through ITS Hardware Services. Hardware Services will ensure that all data is securely erased prior to disposal.

ITS Stats – What Happened in April

We provide enterprise IT solutions and services to support the learning, teaching, research, and administrative goals of 杏吧原创 University.

We are committed to engaging our customers in a collaborative and proficient manner.

  • Of the 1978 tickets opened, 56% of tickets were resolved at聽first contact (by the Service Desk staff)
  • The majority of service requests came through via phone with 1117 calls to 520-3700.
  • Hardware services (located in Herzberg) received about 240 walk-ins.
  • 664 tickets were handed off to second tier support.聽 Of these tickets 92% were closed within the time promised.
  • Voice Services received the most tickets with 108 service requests.
  • Customer satisfaction levels were 93% (with a 24% response rate)
  • The loaner laptops were checked out 979 times.聽 Last April they were checked out 1430 times.
  • Lab usage was also down this year with 19874 logins to the 541 pcs, when last year logins were just over 25000.
  • 74.5% of incoming email is labeled spam and blocked at the perimeter (by SpamAssassin).
  • 39,693 unique devices were connected to the wireless network. Last year this number聽was close to 80,000.
  • The campus card is used for secure door access.聽 It was used to open doors 669,665 times in April.
  • 170 websites are now in the latest CCMS template

Personal Direct-Inward-Dial Phone Numbers are Being Eliminated /its/2016/personal-did-phone-numbers/?utm_source=rss&utm_medium=rss&utm_campaign=personal-did-phone-numbers Mon, 18 Apr 2016 15:02:19 +0000 http://carleton.ca/its/?p=19866 On Tuesday April 26th personal DID numbers (example 613-520-4567) are being converted to 杏吧原创鈥檚 phone number (613-520-2600 ext. 4567).聽 This change is being done in order to be consistent in representing 杏吧原创 to the outside community.

Anyone dialing an old DID number (example 613-520-4567) will be automatically routed to 杏吧原创鈥檚 speech-activated attendant. 聽At that point they will be prompted to either say the persons name or enter the extension (ext. 4567). 聽This re-routing will be in place until the end of 2016. 聽Beginning in 2017, callers must dial 613-520-2600 and then enter the extension number or state the person’s name.

If you have a personal DID number, please consider the following changes that you/your department may need to make:

  • Business cards. If you order new business cards, please ensure your phone number is now listed as 613-520-2600 ext. xxxx (use your extension here). You can use this number format now as it will work prior to the conversion.
  • Websites. Update any departmental websites or contact lists where your DID number may be listed.
  • Contacts. You may wish to inform your colleagues and friends about the changes they will notice when they call you after the conversion.
  • Voicemail. You may wish to update your voicemail to alert your callers about the number change.

ITS will ensure that the online phone directory and speech activated-attendant is updated to reflect the new number.
